FAQs
Common questions for employers, Human Resources teams, and remote employees preparing for an I 9 authorized representative appointment.
What is Form I 9?
+
Form I 9, Employment Eligibility Verification, is used by employers to document the identity and employment authorization of individuals hired to work in the United States. The employee completes Section 1, and the employer or its designated authorized representative completes Section 2.
What is an I 9 authorized representative?
+
An employer may designate another person to act on its behalf for Section 2 completion. Five Star Notary Service LLC may meet with the employee, examine the documents presented, complete the required fields, sign as the employer’s authorized representative, and return the completed form according to the employer’s instructions.
Is I 9 verification a notarial act?
+
No. Form I 9 completion is not a notarization. When providing this service, we act as the employer’s designated authorized representative, not in the capacity of a notary public.
What does your appointment include?
+
The appointment may include:
- Review of the employer’s written instructions
- In person examination of original acceptable documents or an eligible receipt
- Completion and signature of Section 2
- Secure return of the completed form or confirmation
- Communication with the employer when clarification is needed
Can you complete Form I 9 for a remote employee?
+
Yes. We work with employers located throughout the United States that need a local authorized representative to meet with an employee in Palm Beach County or the surrounding service area.
What documents should the employee bring?
+
The employee may present one acceptable List A document, or one acceptable List B document together with one acceptable List C document. The employee chooses which acceptable documents to present. Neither the employer nor the authorized representative should request a specific document or combination of documents.
Do the documents need to be original?
+
For a standard in person appointment, the employee should present original, acceptable, and unexpired documents, or an eligible receipt. Photocopies, photographs, and digital images generally are not substitutes for physical examination during a standard appointment.
Can the appointment be completed entirely by video call?
+
Our standard authorized representative service is completed in person. A federal optional remote document examination procedure is available only to qualifying employers that participate in E Verify and follow the required procedure. The employer must determine whether it is eligible and provide specific instructions before any alternative procedure is used. :contentReference[oaicite:1]{index=1}
How quickly must Section 2 be completed?
+
Section 2 generally must be completed within three business days of the employee’s first day of work for pay. Employers should schedule the appointment early enough to meet their required deadline. :contentReference[oaicite:2]{index=2}
Do you determine whether the employee is authorized to work?
+
No. We examine the documents presented to determine whether they reasonably appear to be genuine and relate to the employee, then complete Section 2 according to the employer’s instructions. We do not provide immigration advice or independently determine employment eligibility. :contentReference[oaicite:3]{index=3}
Who remains responsible for Form I 9 compliance?
+
The employer remains responsible for Form I 9 compliance and for the actions of the authorized representative completing the form on its behalf. Employers should provide clear written instructions and review the completed form promptly.
Do you provide E Verify services?
+
No. E Verify is generally managed directly by the participating employer or its authorized E Verify employer agent. Our standard service is limited to acting as the employer’s designated representative for Form I 9 document examination and Section 2 completion.
Do you offer rush or after hours appointments?
+
Yes. Same day, rush, and after hours appointments may be available for an additional fee, subject to scheduling and travel availability.
Employers should provide their written instructions, submission method, deadline, and employer contact information before the appointment. Employees should bring their chosen original acceptable documents and should not be directed to present a particular document.
